Upload patron pictures
Before you upload multiple patron pictures, you need to create a map file.
To create a map file:
- Create a picture-to-patron map file.The picture-to-patron map file links each image file to the appropriate patron record. A photography service, such as Lifetouch National School Studios, may provide this file, or you can create one.Important: This map file is required to successfully upload patron pictures.
- Verify the accuracy of map file.It is important that the map file be formatted and named correctly.Map file requirements:
- Each line in the map file must contain one patron’s information (a comma is required, with no spaces allowed).
- First field: If loading at the site, the patron’s barcode or, if loading at the district, the district ID.
- Second field: The name of the picture in the ZIP file to be loaded for that patron.
- Each line item in the map file must end with a carriage return.
- The map file should not contain a header line.
- Supported image files are .gif, .jpg, .jpeg, and .png.
- For the best uploading, keep the size of each picture under 20 KB.
- The maximum file upload size is 500 MB.
Examples: This is an example of the content of a picture-to-patron map file. The first column represents the barcode or district ID, the second represents the image file name.

752899,00006.jpgNote: Unlike Upload Patron Pictures at the site level, which matches to the Barcode field, District Upload Patron Pictures matches to the District ID field.
- Each line in the map file must contain one patron’s information (a comma is required, with no spaces allowed).
- Gather all the patron image files you want to upload.
- Create a ZIP file that contains the picture-to-patron map file and all the patron images to upload. Files must be at the root of the ZIP file.
Upload patron pictures
- Do one of the following:To upload multiple patron pictures…Then…At the SiteLog in as a site-level user.At the District
- Log in as a District-level user with the Manage Patrons for the District permission.
- Go to District Back Office.
- Select Admin > Upload Patron Pictures.
- Depending on your browser, click either Browse or Choose File next to Picture Zip File.
- Find the ZIP file to upload, and then click Open.
- Click Upload Pictures. The Job Manager opens.
- Select Refresh List.
- Find your job in the list, and when the upload is complete, click View. A list of updated patrons appears.
