Import a Site

Import a Site

If you are converting from Circulation Plus/Catalog Plus or TextLink, or moving from another Destiny site, you can import your extracted data through Import Site.

Because the extracted data includes the site’s title and copy records, you need to determine how Destiny handles duplicate records.

Important: The file you are importing (compressed or not) must not be larger than 500 MB.Extracting from Destiny creates an already-compressed file, SITEEXTRACTJOB<number>.ZIP.
To decrease the file size and speed the uploading, you can first compress an .ALL file, and then import a compressed file of 500 MB or less.To reduce conversion time, Follett recommends that you place the extraction file on the Destiny application server. When importing a Destiny site containing title records that are district-cataloged digital resources, make sure the appropriate digital Providers are defined in the district before importing. Otherwise, the district-cataloged digital resources will be imported as regular title records. If your district requires District IDs for patron records, select the field in the patron records in the extract file that contains the unique identifier. Destiny moves that ID to the District ID field in the patron record in Destiny.

To import a site:

  1. Log in as a Destiny Administrator.
  2. Select Setup > Sites sub-tab.
  3. To import a site, click Import a Site icon. .
  4. If you want to:Create a New SiteAdd Data to an Existing Site

  5. If your district requires District IDs for patron records, use the Copy drop-down to select the patron field in the extract file that contains the unique identifier. Destiny moves that ID to the District ID field in the patron record in Destiny.
  6. In the Library Title Matching or Textbook Title Matching section, select whether the manner in which Destiny uses strict or relaxed evaluation for matches (or identifies duplicate records).
  7. Choose how Destiny handles duplicates records in the If an incoming title matches an existing title section.

  9. Once you have identified the file and selected the title options, click Import Site.

  11. To view the Job Summary and its details, open the Job Manager at the imported site.
Note: The Job Summary does not appear in the District Job Manager.

Duplicate Library Record Evaluation

Before importing a record, Destiny checks if it is a duplicate (or a match) of a record already in your database. If it is a match, you can choose to skip the incoming record, merge it with the existing record, or always add it. You will want to make the following selections based on the quality of the incoming records.

  • Strict
To use the strict rules, select the Strict checkbox. To ignore the author information (MARC tags 100, 110, and 111), select the Remove the author requirement checkbox.
To be a Strict match, the record must share all of the following with an existing record:
    • A standard number (LCCN, ISBN, or ISSN)
If an incoming record contains a 13-digit ISBN beginning with 978 and the collection record has the 10-digit form of that ISBN – or the reverse – Destiny considers them to be the same ISBN
    • The first 80 characters of the title
    • The same material type (for example, book, video, audiobooks), and subtype (if present)
    • The first 20 characters of the author’s name (if present)
    • The publication date (if present)
  • Relaxed
To consider records without standard numbers to be a match, select the Relaxed checkbox. Destiny compares only the title, material type, author, and publication dates.

Replace or Skip Matches

If Destiny determines that an incoming record duplicates a record already in your collection:

  • If the existing record is better, then Destiny preserves it.
  • If the incoming record is better, you can choose to Replace the existing titleSkip the incoming title, or Always add the incoming title.
Note: Choosing Always add the incoming title may result in duplicate titles, so Strict matching will be used.
Tips
  • If you are updating your existing records, select Replace.
  • If your existing records are better than the ones you are importing, select Skip.
  • If you want to add the records, regardless of whether they match existing records, select Always add the incoming title.

Duplicate Textbook Record Evaluation

Before importing a textbook record, Destiny checks if it is a duplicate (or a match) of a record already in your textbook inventory.

If it is a match, you can choose to retain the existing record or replace it.

You will want to make the following selections based on the quality of the incoming records.

  • Strict
To have Destiny use the strict rules, select the Strict checkbox.
To be a Strict match, the record must share all of the following with an existing record:
    • ISBN: If an incoming record contains a 13-digit ISBN beginning with 978 and the database record has the 10-digit form of that ISBN – the reverse – Destiny considers them to be the same ISBN
    • The first 80 characters of the title
    • The same material type (for example, book, ebook, audiobook)
  • Relaxed
To consider records without ISBNs to be a match, select the Relaxed checkbox. Destiny compares only the title, material type, and record identifier.

Replace or Skip Matches

If Destiny determines that an incoming record is a duplicate, you can choose to retain the existing record or replace it.

Tips
  • If you are updating your existing records, select Replace.
  • If your existing records are better than the ones you are importing, select Skip.
